Privacy policy

This privacy policy explains how Melton Landscaping (meltonlandscaping.com.au) collects, uses, discloses and stores personal information. It is written to follow the Australian Privacy Principles in the Privacy Act 1988 (Cth).
Who collects your information
Melton Landscaping is run by XYD PTY LTD (ABN 56 680 576 694) trading as RankRent. XYD PTY LTD operates this website and collects any personal information you send through it. In this policy "we", "us" and "our" mean XYD PTY LTD.
The site is a referral service for landscaping, serving City of Melton, VIC. We do not carry out the work ourselves. When you send an enquiry, we pass it to the local landscaping business we refer work to in this area so they can quote the job.
This policy applies even if we are exempt
Small businesses with an annual turnover under $3 million are often exempt from the Privacy Act. We apply this policy and the Australian Privacy Principles to every enquiry on this site regardless of whether that exemption would otherwise apply to us.
What we collect
When you use the quote form we collect what you type in:
- your name
- your phone number
- your email address
- your suburb
- what you need done, and anything else you add in the message box
When you visit the site, the systems that serve it collect some technical data automatically:
- your IP address, which is also used for a short period to limit spam and repeated submissions
- your browser and device type, the pages you viewed and the time of your visit
- analytics data collected by Google Analytics 4, which uses cookies to count visits and tell repeat visitors from new ones
We do not collect payment details, identity documents or sensitive information, and we ask you not to put any in the message box.
Why we collect it
We collect and use your information to:
- pass your enquiry to the local landscaping business we refer work to in this area so they can contact you about the job
- keep a record that the enquiry was referred, which we use for billing between us and that business
- detect and filter spam and automated submissions
- understand how the site is used so we can improve it
- meet any legal obligation that applies to us
We do not sell your information, we do not add you to marketing lists, and we do not use your enquiry for anything beyond the referral and the record keeping that goes with it.
Who we disclose it to
Your enquiry is disclosed to the local landscaping business we refer work to in this area. That business receives your name, phone number, email, suburb and message so they can call or email you with a quote. They may contact you by phone, SMS or email about your enquiry. Once they have your details they handle them under their own privacy practices, and you deal with them directly from that point.
A copy of each enquiry is also emailed to us at XYD PTY LTD so we can confirm it was passed on.
We use service providers that process information on our behalf:
- Cloudflare, which hosts this site, runs the form handler and stores enquiries
- Google, which provides Google Analytics and processes analytics data on servers that may be outside Australia
We may also disclose information where the law requires it, for example to a court or regulator.
Where your information is stored
Form submissions are received by our own form handler running on Cloudflare Workers and stored in Cloudflare KV, a storage service that runs on Cloudflare's global network. That means your enquiry may be stored or processed on servers outside Australia. Cloudflare is bound by its own privacy and security commitments, and by sending the form you consent to this handling. The copy emailed to us is held in our business email account.
How long we keep it
We keep enquiry records for 24 months from the date of the enquiry so we can confirm referrals, resolve any question with the referred business about whether an enquiry was genuine, and meet our record-keeping obligations. After that they are deleted or de-identified. Submissions our filters mark as spam are held separately for up to 90 days and then deleted.
The referred business keeps its own copy of your enquiry under its own retention practices, and you can ask them directly to delete it.
Access and correction
You can ask us for a copy of the personal information we hold about you, and ask us to correct it if it is wrong or out of date. Email hello@xyd.com.au with the site name, the approximate date of your enquiry and the email address or phone number you used, so we can find the record. We will respond within 30 days and there is no charge.
You can also ask us to delete your enquiry. We will delete it from our systems unless we need to keep it for a legal or billing reason, and we will tell you if that is the case. If you want the referred business to delete its copy, ask them directly or tell us and we will pass the request on.
Complaints
If you think we have mishandled your information, email hello@xyd.com.au and tell us what happened. We will acknowledge the complaint, look into it and reply within 30 days. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
Cookies and analytics
This site uses Google Analytics 4 to count visits and see which pages are read. Google Analytics sets cookies and collects your IP address, device and browser information and the pages you view. We do not use it for advertising and we do not run advertising trackers. Analytics data is kept for the retention period set on our Google Analytics property, and Google's own privacy policy applies to how Google handles it. You can block analytics cookies in your browser settings or with the Google Analytics opt-out browser add-on without affecting the quote form.
Changes to this policy
We may update this policy from time to time. The current version is always at meltonlandscaping.com.au/privacy/. This version was last revised on 7 November 2026.
